BACKGROUND
This ordinance authorizes the Director of Department of Technology to renew the contract with Brown Enterprise Solutions, LLC for the Veeam Data Platform Advance Universal subscription for a total cost of $152,570.00.
The Veeam Data Platform Advance Universal subscription works as a backup system in conjunction with the city’s current infrastructure. The software licensing maintenance and support services are necessary to continue services for protection from events such as data corruption, accidental data deletion, malicious attacks (e.g. recovering from Ransom Ware), and natural disasters that could take down a city data center (e.g. tornados, fires).
Ordinance 3107-2023, authorized the Director of Technology to enter into a contract for the purchase of Veeam Data Platform Advance Universal subscription in the amount of $122,170.00. The contract was advertised through Vendor Services as RFQ025982 published September 22, 2023, and awarded to Brown Enterprise Solutions, LLC. The original contract term was for one year, from December 23, 2023, and ending on December 22, 2024, which included the option of three (3) additional one (1) year terms at the same pricing and the same escalator clause renewal options. Ordinance 2295-2024 authorized year one (1) of the agreed three (3) additional renewals for the amount of $130,150.00.
This ordinance authorizes the second renewal at a total cost of $152,570.00 for a period of twelve (12) months, starting on December 23, 2025, through December 22, 2026. The current contract (second renewal) expires December 22, 2025, per Ordinance 2295-2024.

WHEREAS, the Department of Technology has a need for Veeam licenses which are critical for the protection of the Department’s infrastructure and network backup system; and
WHEREAS, Ordinance 3107-2023 authorized the Director of the Department of Technology to enter into contract for the purchase of Veeam Data Platform Advance Universal subscription in the amount of $122,170.00; and
WHEREAS, the Department of Technology desires to renew the contract with Brown Enterprise Solutions, LLC for the Veeam Data Platform Advance Universal subscription and licensing which are critical to protect the DoT’s infrastructure and network backup system; and
WHEREAS, the original contract included three (3) additional one (1) year terms at the same pricing and the same escalator clause renewal options. This ordinance authorizes the second of the three annual renewals; and
WHEREAS, the above-described renewal will be for one year, starting on December 23, 2025, through December 22, 2026, at a cost of $152,570.00; and
WHEREAS, it has become necessary in the usual daily operation of the City for the Department of Technology to authorize the Director of the Department of Technology to renew a contract with Brown Enterprise Solutions, LLC for Veeam Data Platform Advance Universal subscription and licensing; NOW, THEREFORE,
BE IT ORDAINED BY THE COUNCIL OF THE CITY OF COLUMBUS:
SECTION 1: That the Director of the Department of Technology is hereby authorized to renew a contract with Brown Enterprise Solutions, LLC for Veeam Data Platform Advance Universal subscription for the amount of $152,570.00 for the term of December 23, 2025, and through December 22, 2026, for the second of three renewals.
SECTION 2: That the expenditure of $152,570.00, or so much thereof as may be necessary, is hereby authorized to be expended as shown in the attachment to this ordinance. (Please see 1753-2025EXP)
SECTION 3: That the City Auditor is authorized to make any accounting changes to revise the funding source for all contracts or contract modifications associated with this ordinance.
SECTION 4: That the funds necessary to carry out the purpose of this ordinance are hereby deemed appropriated, and the City Auditor shall establish such accounting codes as necessary.
SECTION 5: That this ordinance shall take effect and be in force from and after the earliest period allowed by law.
