Explanation

This ordinance authorizes the Director of the Department of Technology to renew a contract with Brown Enterprise Solutions, LLC for licenses, maintenance and support for Tableau software. Tableau is a data visualization and business intelligence software that provides instantaneous insight by transforming data into visually appealing and interactive visualization. It helps the user to see and understand the data quickly and find patterns that otherwise may be very difficult to detect and understand. Tableau connects to almost every database and its resulting visualizations can be easily shared with others both on and off City’s web pages.

On June 23, 2022, RFQ022015, a solicitation for Tableau maintenance and support, was opened. There were three bids submitted. Brown Enterprise Solutions, LLC submitted the lowest, responsive bid. Two other bids were received in response to this solicitation. Communication Square and SHI submitted bids of $150,615.00 and $154,371.63, respectively.

Ordinance 1937-2022, which authorized the original contract with Brown Enterprise Solutions, LLC, included a provision to renew for three additional one-year terms. This ordinance authorizes the second of three allowable renewals. The term of the renewed contract will be one year, beginning on July 25, 2024 and ending on July 24, 2025. This ordinance also authorizes the expenditure of $211,994.50 for the above-described purpose.

FISCAL IMPACT

Funds for the above-described services are available and budgeted in the 2024 Information Services Operating Fund and in the Fire Division's 2024 general fund operating budget.

Body

WHEREAS, the Department of Technology has a continued need for licenses and maintenance and support for its Tableau software; and

WHEREAS, Ord. No. 1937-2022, which passed on July 11, 2022, authorized the original contract with Brown Enterprise Solutions, LLC. which included three one-year options to renew; and

WHEREAS, this ordinance authorizes the second of three allowable renewals for a term of one year, beginning on July 25, 2024 and ending on July 24, 2025 at a total cost of $211,994.50; and

WHEREAS, it is necessary to authorize the Director of the Department of Technology to enter into contract with Brown Enterprise Solutions, LLC for the renewal of Tableau software license maintenance and support services,to support daily operation activities, to ensure no service interruption, and for the immediate preservation of the public health, peace, property, safety and welfare; NOW, THEREFORE,

BE IT ORDAINED BY THE COUNCIL OF THE CITY OF COLUMBUS:

SECTION 1. That the Director of the Department of Technology is hereby authorized to renew a contract  with Brown Enterprise Solutions, LLC for licenses, maintenance and support for Tableau software at a cost of $211,994.50 for a term of one year, beginning on July 25, 2024 and ending on July 25, 2025.

SECTION 2. That the expenditure of $211,994.50, so much thereof as may be necessary, is hereby authorized to be expended from the Department of Technology, Information Services Division, Information Services Operating fund and the Division of Fire's 2024 general fund budget, as follows in the attachment to this ordinance. SECTION 3. That the funds necessary to carry out the purpose of this ordinance are hereby deemed appropriated, and the City Auditor shall establish such accounting codes as necessary.

SECTION 4. That the City Auditor is authorized to make any accounting changes to revise the funding source for all contracts or contract modifications associated with this ordinance.

SECTION 5. That this ordinance shall take effect and be in force from and after the earliest period allowed by law.
