Explanation
The purpose of this legislation is to authorize the Director of Public Utilities to enter into a planned modification to an existing contract for Vibration Monitoring Services for the Division of Sewerage and Drainage, in order to continue scheduled services to the Division. The contract is used for vibration analysis and preventive maintenance of equipment at the Jackson Pike Wastewater Treatment Plant and Southerly Wastewater Treatment Plant.
The existing contract was bid on September 5, 2007. The lowest responsive and responsible and best bidder was Hargus Vibration Monitoring Services of Hopewell, Ohio. A contract with this entity was authorized by Ordinance No. 1544-2007, passed on November 5, 2007. The original contract language allowed for a one (1) year contract with two (2) extension options. This legislation is the first extension option. The original contract was in the amount of $33,000.00. The estimate for the second extension is $33,000.00 totalling a contract commitment of $99,000.00 over 3 years.

Why the Need for Additional Work Could Not Be Foreseen: The need for contract continuance via modification to provide incremental funding was foreseen, and is included in the original procurement's specifications.
Why Other Procurement Processes Would Not Be In the City's Best Interest: This modification is deemed the most feasible and reasonable means of continuing to provide needed services.
How the Cost of the Modification Was Determined: The cost of the Modification to the Janitorial Services contract was based upon extension of prices in the current contract.
