Explanation
BACKGROUND: This legislation authorizes the Finance and Management Director to modify and extend an existing Universal Term Contract (UTC) for the option to obtain Overhead Door Parts with All Access Door Systems, Inc., CC# 025829, expires 4/4/2026. This contract provide for overhead door parts and operating accessories used for repairs and maintenance of overhead doors for the Facilities Management Division, primary user. The contract, PO312400 with All Access Door Systems, Inc. was established in accordance with Request for Quotation RFQ020108 and will expire February 28, 2025. It is in the best interest of the City to extend the contract through February 28, 2026, allowing sufficient time to establish new contract(s) from a formal bid process.
No additional funds are necessary to modify the option contract as requested. There is no change in the type of products or services being procured. The original contract was formally bid. The original terms and conditions will remain in effect.
EMERGENCY DESIGNATION: The Finance d Management Department respectfully requests this legislation be considered an emergency to modify and extend the option contract with All Access Door Systems, Inc. PO312400 for a period of one year from March 1, 2025 to and including February 28, 2026; as the current contract expires on February 28, 2025 and overhead door parts and operating accessories need to be readily available for repairs and maintenance.
FISCAL IMPACT: No funding is required to modify the option contract. City departments must set aside their own funding for their estimated expenditures.
