Explanation

BACKGROUND: To modify and extend the existing city-wide contracts for the Rental of Construction Equipment with an Operator for various City agencies to and including August 31, 2004. The Purchasing Office opened formal bids on July 19, 2003. The Purchasing Office advertised and solicited competitive bids in accordance with Section 329.06. (Proposal No. SA000068GRW). Contract numbers FL000856, Travco Construction Company, CC# 31-1771566 and FL000859, Right Way Excavating Inc., CC#-31-1633753 were established in accordance with bids received.

1. Amount of additional funds: The estimated annual expenditure is $2,150,000. Each agency must obtain approval to expend from their own budgeted funds for their estimated expenditures.
2. Reason additional needs were not foreseen: Needs were foreseen, an extension is provided for in the original contract.
3. Reason other procurement processes not used: The same exact product is required at originally bid. No lower pricing/more attractive terms and conditions are anticipated at this time.
4. How cost was determined: The cost, terms and conditions are in accordance with Solicitation SA000068GRW, Contract numbers FL000856 and FL000859.

FISCAL IMPACT: No funding is required to extend the option contracts. Each agency must set aside their own funding for their estimated expenditures.

In order to provide uninterrupted service and supply, this ordinance is being submitted as an emergency.
