Explanation
BACKGROUND: This legislation authorizes the Finance and Management Director to establish three (3) Universal Term Contracts (UTC's) for the option to purchase Commercial Fitness Equipment with Design2Wellness LLC, G&G Fitness Equipment, Inc. and Health & Fitness Inc. The Department of Recreation and Parks is the primary user for Commercial Fitness Equipment. Commercial Fitness Equipment is used to maintain and increase physical fitness among residents using Recreation and Parks's Get Active Fitness Centers. The term of the proposed option contract would be approximately three (3) years, expiring March 31, 2026, with the option to renew for one (1) additional year. The Purchasing Office opened formal bids on February 9, 2023. In addition, the expenditure of $3.00 is hereby authorized from General Budget Reservation BRPO002025.
The Purchasing Office advertised and solicited competitive bids in accordance with the relevant provisions of Section 329.06 relating to competitive bidding (Request for Quotation No. RFQ023725). Six (6) bids were received.
The Purchasing Office is recommending award to the overall lowest, responsive, responsible and best bidders as follows:
Design2Wellness LLC, CC# 042300 expires 6/28/2024, Items 6, 7, 8, 9, 10, 11, 15 and 16. $1.00
G&G Fitness Equipment, Inc. CC#000824, expires 2/25/2024, Items 1, 2, 3, 4, 5 and Hoist and Gronk. $1.00
Health & Fitness Inc., CC#029087, expires 1/23/2024, Items 4, 12, 13 and 14. $1.00
No bid was received on item 17, this item will be bid out as needed.
Total Estimated Annual Expenditure: $150,000.00, Department of Recreation and Parks the primary user.
Emergency Designation: The Finance and Management Department respectfully requests this legislation to be considered an emergency ordinance because the current contract expires 3/31/2023 and to provide an uninterrupted supply of fitness equipment, an emergency is requested.
