Explanation
BACKGROUND: This legislation authorizes the Finance and Management Director to modify and extend an existing Universal Term Contract (UTC) for the option to purchase Computer Parts and Accessories with CDW Government LLC, CC# CC-034427, expires 5/22/2027. This contract provides hard drives, web cams, cables, monitors, and keyboards for the Department of Technology. This modification is necessary to maintain an uninterrupted supply provided by the UTC, and to allow time for a new procurement process to award a new contract. The contract, PO328978, was established in accordance with Request for Quotation RFQ021354 and will expire June 30, 2026. The City and CDW Government LLC have agreed to modify and extend the contract. It is in the best interest of the City that the contract be modified to allow for an extension period of one (1) year up to and including June 30, 2027.
Pursuant to Section 329.09(a) of Columbus City Codes:
(1) The amount of additional funds to be expended under the modification: No additional funds are necessary to modify the option contract as requested.
(2) Why the need for additional goods or services could not be foreseen at the time the contract was initially awarded: N/A
(3) Why it would not be in the city's best interests to have the additional contract requirements awarded through other procurement processes specified in this chapter: Any lapse in this contract would cause an interruption of this service which is needed for the Department of Technology.
(4) How the price for the additional goods or services which are the subject of the modification was determined: The pricing has not changed.
EMERGENCY DESIGNATION: The Finance and Management Department respectfully requests this legislation be considered an emergency to maintain an uninterrupted supply of Computer Parts and Accessories provided by the UTC, and to allow time for a new procurement process.
