Title: To authorize the Finance and Management Director to renew a Universal Term Contract for the option to purchase video storage with CDW Government, LLC; and to declare an emergency.

Explanation

 

BACKGROUND:  This legislation authorizes the Finance and Management Director to renew an existing Universal Term Contract (UTC) for the option to obtain video storage with CDW Government, LLC.  This contract provides for body camera video storage for the Police Division. 

 

The contract, PO063206 was established in accordance with Request for Quotation RFQ004361 and authorized under Ordinance Number 1094-2017 and will expire May 31, 2020.  In accordance with the bid specifications, the City and CDW Government, LLC can renew the contract for an additional one year term subject to mutual agreement and approval of proper City Authorities.  The new contract expiration date will be May 31, 2021. 

 

EMERGENCY DESIGNATION:  The Finance and Management Department respectfully requests this legislation  be considered an emergency measure as the current contract expires May 31, 2020. 

 

FISCAL IMPACT: No funding is required to renew the option contract.  The Police Division must set aside their own funding for their estimated expenditures.

 

 

Title

 

To authorize the Finance and Management Director to renew a Universal Term Contract for the option to purchase video storage with CDW Government, LLC; and to declare an emergency.

 

 

Body

 

WHEREAS, the Purchasing Office entered into a Universal Term Contract for Video Storage for use by the Police Division; and 

 

WHEREAS, this contract was entered into in accordance with Chapter 329 of the Columbus City Code, pursuant to solicitation  RFQ004361  with CDW Government, LLC deemed the lowest, most responsive, responsible and best bidder, and

 

WHEREAS, in accordance with the bid specifications, the City and CDW Government, LLC  can renew the contract for an additional one year period, subject to mutual agreement and approval of proper City authorities; and

 

WHEREAS, an emergency exists in the usual daily operation of the Public Safety Department, Division of Police, in that it is immediately necessary to authorize the Finance and Management Director to renew a Universal Term Contract with CDW Government, LLC for the option to obtain Video Storage, thereby preserving the public health, peace, property, safety, and welfare; now, therefore

 

BE IT ORDAINED BY THE COUNCIL OF THE CITY OF COLUMBUS:

 

SECTION 1.  That the Finance and Management Director is hereby authorized to renew the option contract with CDW Government, LLC, PO063206 for a period of one year, from May 31, 2020 to and including May 31, 2021.

 

SECTION 2.  That for the reasons stated in the preamble hereto, which is hereby made a part hereof, this ordinance is hereby declared to be an emergency measure and shall take effect and be in force from and after its passage and approval by the Mayor, or ten days after passage if the Mayor neither approves nor vetoes the same.
