Explanation
BACKGROUND: This legislation authorizes the Finance and Management Director to renew an existing Universal Term Contract (UTC) for the option to obtain HP Computers and Accessories with Softchoice. This contract provide computers and accessories citywide.
The contract, PO129546, was established in accordance with Request for Quotation RFQ008611, authorized under Ordinance Number 1933-2018, and will expire April 30, 2020. In accordance with the bid specifications, the City, and Softchoice can renew the contract through the end of the year, subject to mutual agreement and approval of proper City Authorities. The new expiration date will be December 31, 2020 for each contract.
EMERGENCY DESIGNATION: The Finance and Management Department respectfully requests this legislation be considered an emergency measure because the current contract expires on April 30, 2020.
FISCAL IMPACT: No funding is required to renew the option contract. Departments utilizing the contract must set aside their own funding for their estimated expenditures.

WHEREAS, the Purchasing Office entered into a Universal Term Contract with Softchoice for HP Computers and Accessories for use citywide; and
WHEREAS, this contract was entered into in accordance with Chapter 329 of the Columbus City Code, pursuant to solicitation RFQ008611 with Softchoice, deemed the lowest, most responsive, responsible and best bidder, and
WHEREAS, in accordance with the bid specifications, the City, and Softchoice can renew the contracts for up to an additional one year period, subject to mutual agreement and approval of proper City authorities; and
