Title: To authorize the Finance and Management Director to enter into two (2) Universal Term Contracts for the option to purchase Small Electric Motors with W.W. Grainger, Inc. and Norfolk Bearings & Supply Co., Inc.; and to authorize the expenditure of $2.00. ($2.00)
Explanation
BACKGROUND: This legislation authorizes the Finance and Management Director to establish two (2) Universal Term Contracts (UTC) for the option to purchase Small Electric Motors with W.W. Grainger, Inc. and Norfolk Bearings & Supply Co., Inc. The contracts will be used City wide, and made available to all departments and divisions. Small Electric Motors and associated parts are used to purchase, rebuild, and replace any motors under fifty (50) horsepower. The term of the proposed option contracts will be approximately three (3) years, expiring May 31, 2026, with the option to renew for one (1) additional year. The Purchasing Office opened formal bids on March 9, 2023. In addition, the expenditure of $2.00 is hereby authorized from General Budget Reservation BRPO002253.


The Purchasing Office advertised and solicited competitive bids in accordance with the relevant provisions of Section 329 relating to competitive bidding (Request for Quotation No. RFQ023982). Two (2) bids were received.

The Purchasing Office is recommending award to the lowest, responsive, responsible and best bidders as follows:

Norfolk Bearings & Supply Co., Inc., CC# 028917 expires June 28, 2023, accepted manufacturers: Baldor, Century, Leeson, WEG, Westinghouse, $1.00

W.W. Grainger, Inc., CC#007170 expires on February 2, 2024, accepted manufacturers: Baldor, Century, Emerson, Franklin, Leeson, Marathon, Square D, U.S. Electric, WEG, Bell & Gossett, Dayton, Fasco, General Electric, Lincoln, Reliance, Siemens, White-Rodgers

Total Estimated Annual Expenditure: $40,000.00, City Wide users.

The companies are not debarred according to the Excluded Party Listing System of the Federal Government or prohibited from being awarded a contract according to the Auditor of State Unresolved Findings for Recovery Certified Search.
