Explanation
This ordinance authorizes the Director of the Department of Technology (DoT) to enter into contract with Brown Enterprise Solutions, LLC for the renewal of software licenses and maintenance and support for Tableau software. Tableau is a data visualization and business intelligence software that provides instantaneous insight by transforming data into visually appealing and interactive visualization. It helps the user see and understand the data quickly and find patterns that otherwise may be very difficult to detect and understand. Tableau connects to almost every database and its resulting visualizations can be easily shared with others both on and off City’s web pages. City departments are using this platform for data visualizations and better decision making. The original contract (RFQ022015) authorized Brown Enterprise Solutions, LLC via Ord. No. 1937-2022, passed on July 11, 2022. The City of Columbus does not enter into automatic renewals, however upon mutual agreement and authorized appropriation as approved by Columbus City Council may be renewed for three (3) additional one (1) year terms. This ordinance represents the first of three (3) allowable additional one (1) year terms, the term of this contract will be for one (1) year, beginning on July 25, 2023 and ending on July 24, 2024. This ordinance authorizes the expenditure of $151,355.00 for the above-described purpose.

FISCAL IMPACT
In 2022, the Department of Technology expended $149,876.13 (via Ord. No. 1937-2022) for the purchase of software licenses and maintenance and support for Tableau software. This year (2023) the cost for the renewal of software licenses and maintenance and support for Tableau software is $151,355.00. Funds for this purchase are available and budgeted in the Department of Technology, Information Services Operating Fund.

WHEREAS, the Department of Technology has a continued need for licenses and maintenance and support for its Tableau software; and
WHEREAS, Tableau is a data visualization and business intelligence software that provides instantaneous insight by transforming data into visually appealing and interactive visualization. Tableau connects to almost every database and its resulting visualizations can be easily shared with others both on and off City’s web pages. City departments are using this platform for data visualizations and better decision making; and
WHEREAS, Ord. No. 1937-2022, passed on July 11, 2022 authorized the original contract (RFQ022015) with Brown Enterprise Solutions, LLC. which included option(s) to renew. The City of Columbus does not enter into automatic renewals, however upon mutual agreement and authorized appropriation as approved by Columbus City Council this contract may be renewed for three (3) additional one (1) year terms. WHEREAS, the term of this contract will be for one (1) year, beginning on July 25, 2023 and ending on July 24, 2024. This ordinance authorizes the expenditure of $151,355.00 for the above-described purpose; and
WHEREAS, it is necessary to authorize the Director of the Department of Technology to enter into contract with Brown Enterprise Solutions, LLC for the renewal of Tableau software license maintenance and support services,to support daily operation activities, to ensure no service interruption, and for the immediate preservation of the public health, peace, property, safety and welfare; NOW, THEREFORE,
BE IT ORDAINED BY THE COUNCIL OF THE CITY OF COLUMBUS:
SECTION 1. That the Director of the Department of Technology is hereby authorized to enter into contract with Brown Enterprise Solutions, LLC for the renewal of licenses and maintenance and support for Tableau software at a cost of $151,355.00, for a term of one (1) year, beginning on July 25, 2023 and ending on July 24, 2024.
SECTION 2. That the expenditure of $151,355.00, so much thereof as may be necessary is hereby authorized to be expended from the Department of Technology, Information Services Division, Information Services Operating fund as follows in the attachment to this ordinance. SECTION 3. That the funds necessary to carry out the purpose of this ordinance are hereby deemed appropriated, and the City Auditor shall establish such accounting codes as necessary.
SECTION 4. That the City Auditor is authorized to make any accounting changes to revise the funding source for all contracts or contract modifications associated with this ordinance.
SECTION 5. That this ordinance shall take effect and be in force from and after the earliest period allowed by law.
